Who we are
This notice explains how The Velvet Key ("we", "us") handles personal data when you use this website, ask about membership, become a member, send a request or sign up for The Velvet Letter. Under the Digital Personal Data Protection Act, 2023, we are the Data Fiduciary for that data.
What we collect
- When you send a request or ask about membership: your name, your phone number and email address, what the occasion is, when, how many guests, what you are interested in, and anything else you choose to tell us.
- When you are a member: the details we need to run your membership, records of your membership fee, your Quotes, your approvals and payments, and your prepaid balance if you keep one.
- To complete a booking: attendee names, and any ID details a provider needs for that booking.
- When you message us on WhatsApp or by email: what you send us.
- When you sign up for The Velvet Letter: your email address, and your name if you give it.
Why we collect it
We use it to reply to you, to talk you through membership, to prepare Quotes, to make and manage bookings, to handle payments and your prepaid balance, to support you, and to meet our legal obligations, such as accounting and tax records. We process it with your consent, which you give when you send the form or sign up, or where the law otherwise allows. We do not sell your information, and we do not use it for advertising.
Who sees it
We share with a provider only what it needs to complete your booking, such as attendee names. We use a few services to run the business, and they process your information on our behalf:
- Formspree processes the request form, including its newsletter box, and sends us an email alert for each request.
- Brevo stores each request in our enquiry list. It also keeps The Velvet Letter mailing list and sends The Velvet Letter, including the welcome email, when you sign up on this website.
- Google hosts our email inbox, where enquiries arrive.
- WhatsApp carries messages on your member WhatsApp line.
Some of these services may store data outside India.
What not to send
Please do not send card numbers, CVV codes, OTPs, passwords or government ID numbers by form, email or chat, unless we have asked for a specific document for a specific booking.
How long we keep it
Requests and quotes that do not lead to a membership or booking are deleted within 24 months of our last contact. Membership, booking, payment and prepaid-balance records are kept only while they are needed for service, accounting and legal reasons, and are then deleted or anonymised.
Browser storage, no cookies
This website does not use cookies, analytics or advertising trackers. It keeps one small item in your own browser. It is not sent to us.
- vk_nl_popup (localStorage): remembers that you closed The Velvet Letter prompt, so it stays hidden for 30 days, or that you signed up, so it is not shown again. It stays in your browser until you clear it.
You can clear it at any time in your browser settings.
Keeping it safe
We take reasonable security measures to protect your information, and we limit who can see it. One person handles your request. If a personal data breach happens, we will tell you and the Data Protection Board of India as the law requires.
Your rights
You can ask us at any time to:
- give you a summary of the information we hold about you and how we use it,
- correct, complete or update it,
- delete it, where we don't need to keep it by law,
- stop contacting you, or withdraw your consent (this is as easy as giving it, and it doesn't affect anything already done),
- name someone to exercise these rights for you if you die or become unable to.
Email sales.velvetkey@gmail.com. We will respond within 7 days. If you are not satisfied with our answer, you can complain to the Data Protection Board of India.
Our service is for adults aged 18 and over.
The Velvet Letter
If you sign up for The Velvet Letter, our occasional email, we use your email address (and your name, if you give it) only to send it. When you sign up on this website, we also keep the time you signed up and which sign-up form you used, as a record of your consent. You can unsubscribe at any time with the unsubscribe link in any issue, by replying to it, or by emailing sales.velvetkey@gmail.com.
The request form has a box, ticked by default, that also signs you up for The Velvet Letter. You can untick it before you send your request. If the box is ticked and you give an email address, we add that email to The Velvet Letter. If you give only a phone number, nothing is added. Signing up is optional, does not affect your request, and you can unsubscribe at any time.
